Document processing

SA Glass

SA Glass staff were retyping orders from handwritten notes, sketches, spreadsheets, PDFs and CAD files.

Challenge

SA Glass staff were retyping orders from handwritten notes, sketches, spreadsheets, PDFs and CAD files. Preparing a proforma invoice took around 35 minutes per order.

What we built

We built a document workflow that extracts order details, checks dimensions and specifications against catalogue and business rules, and prepares proforma invoices for ERP import. Uncertain fields go to a human review queue.

  • 96% field-level extraction accuracy on the first pass across input formats.
  • 78% of orders fully automated, with a 38-second turnaround for auto-approved orders.
  • 3 minutes average review time for flagged orders.
Technical approach: document processing

The workflow ingests the incoming file, extracts structured order fields, validates them against the product catalogue and business rules, then routes the order by confidence.

Auto-approved orders pass into the proforma-invoice template and ERP integration. Reviewers correct flagged fields before the same downstream steps run, keeping human judgement in the workflow where it is needed.

More than 800 orders passed through the pipeline in the first four weeks after launch. The 38-second result applies to the automated subset; flagged orders have a separate review step.
